Staff Positions

Office Coordinator (MA)

Summit Educational Group has an opening for a full-time Office Coordinator. Reporting to the Director of 1-1 Tutoring Operations for the MA office, the Office Coordinator will serve as the face and voice of Summit and will be responsible for connecting our clients with our Program Directors. Our clients are families, school contacts, and independent consultants who require superior customer service and personalized attention for any questions about standardized testing and Summit’s programs and services. This is a full-time, non-exempt, 40-hr/week on-site position in our Newton, MA, office during the hours of 9:00am – 5:30pm, Monday through Friday.

JOB DESCRIPTION:

Reporting To:  Director of One-on-One Tutoring Operations, MA

Responsibilities

Customer Service on Phones

  • Act as the face/voice of Summit for clients making initial contact, whether via phone calls or in-person visits. It’s important that our core values are embodied from the very first conversation.
  • Answer all phone calls consistently and promptly, and route calls within the office.
  • Answer clerical questions as able, re: credit card info, classroom schedules, and web site login info.
  • Assist Testing Coordinator by registering students for proctored practice tests, as needed.
  • Assist Classroom Programs staff by registering students for Summit classroom programs, as needed.

Administrative Tasks/Office Support

  • Receive and disperse incoming shipments and mail.
  • Mail outgoing paychecks, invoices, and other items.
  • Order office and kitchen supplies.
  • Coordinate office maintenance needs with property management company.
  • Maintain appearance of front desk, reception, classrooms, meeting rooms, and kitchen.
  • Provide back-up support to the Fulfillment Assistant as necessary by packing and shipping daily mail items and student packages.
  • Enter credit card information into Sherpa database.
  • Compile materials for off-site presentations.
  • Receive business reply cards and enter information into Sherpa database.
  • Contact selected tutor candidates, clarify any needed information, and schedule an initial interview and qualifying test.
  • Assist in copying and assembling training materials for tutors.
  • Assist in scoring student practice tests and compiling results for classroom programs.
  • Assist staff in arranging travel and conference plans.
  • Coordinate scheduling for Leadership Team quarterly meetings and company-wide meetings and events.
  • Other assignments as needed in alignment with the candidate’s skills and available time.

Requirements

Office Coordinator (CT/NY)

Summit Educational Group has an opening for a full-time Office Coordinator. The Office Coordinator will serve as the face and voice of Summit and is responsible for connecting our clients with Program Directors. Our clients are families, school contacts, and independent consultants who require outstanding customer service relating to standardized testing and Summit’s programs. The ideal candidate will be upbeat, energetic, detail-oriented, friendly, and have 2 or more years’ experience in customer service. This is a non-exempt, full-time, 40-hr/week position that will split the workweek between Summit’s offices in New Canaan, CT and in White Plains, NY.

JOB DESCRIPTION:

Reporting To – Director of One-on-One Tutoring Operations, CT/NY

Responsibilities

  • Serve as the face and voice of Summit Educational Group to clients over the phone or in person.
  • Answer incoming phone calls and online inquiries consistently and promptly, regarding 1-on-1 tutoring, credit card info, classroom schedules, practice tests, login info, etc. Collect information from incoming callers to determine nature of the call and any relevant details to ensure proper call routing
  • Monitor and manage call rotation on a weekly basis.
  • Facilitate Summit’s proctored practice tests, including: scheduling and publishing practice test schedules online and in print, confirming test proctors and off site testing locations, training new proctors as needed, registering students for upcoming test dates (via phone or online), monitoring test rosters and room capacity, sending confirmation and reminder e-mails, preparing testing materials for in office tests or shipping materials to off-site proctors, and arranging for proctor pay.
  • Oversee test scoring of all proctored practice tests for 1-on-1 and Classroom Programs.
  • Compile materials for off-site presentations and trainings and for other office visitors.
  • Receive and disperse incoming shipments and mail.
  • Take “ownership” over the look and feel of front office, classrooms, supply closets, and meeting rooms, ensure that office spaces are tidy and welcoming to all visitors
  • Order, organize, and maintain an inventory of practice tests, course materials, and office supplies
  • Coordinate room usage to prevent conflicts among the different divisions
  • Act as point of contact for phone/internet/copier/janitorial/water delivery needs
  • Act as point of contact with Building Manager
  • Assist colleagues throughout the company as necessary.

Professional Qualifications

The desired candidate will possess the following qualifications:

  • Associate’s degree or higher
  • 2+ years of customer service experience
  • Exceptional written, verbal, and interpersonal communication skills
  • Ability to manage multiple responsibilities concurrently in a fast-paced team environment
  • Sense of urgency and drive
  • Proficiency with Microsoft Office, including Outlook, and experience with CRM databases

Staff Accountant (MA)

Summit Educational Group is seeking a detailed-oriented Staff Accountant. In a smart, fun, and growing company environment, the selected individual will be responsible for customer billing and collections, vendor purchases and payments, payroll, account reconciliations, and financial reporting. This is a full-time, exempt position working in our Newton, MA, office during business hours of Monday – Friday, 9:00am – 5:30pm.

JOB DESCRIPTION:

Reporting To – Chief Financial Officer

Responsibilities

  • Process purchase orders, vendor invoices and employee expense reports for timely payment
  • Issue customer invoices, process and reconcile receipts and make bank deposits
  • Process and reconcile credit card transactions
  • Ensure receivables are collected promptly, working closely with corresponding departments
  • Manage delinquent customer accounts, making necessary collection calls
  • Process payroll accurately and on time
  • Verify accuracy and ensure proper classification of all transactions within QuickBooks
  • Tag and monitor fixed assets
  • Maintain an organized accounting filing system
  • Provide oversight and answer questions for all employees working on customer billing for all departments
  • Provide clerical and administrative support to management as requested

Professional Qualifications

  • Associate Degree in Accounting required (Bachelor’s Degree in Accounting strongly preferred)
  • 3+ years of accounting/bookkeeping experience (2+ years with Bachelor’s Degree)
  • Solid working knowledge of QuickBooks a must
  • Deep understanding of the A/P and A/R processes
  • Strong attention to detail, analytical and fastidious, and good recordkeeping skills a must
  • Excellent problem-solving skills and ability to work with minimal supervision
  • Proficiency with Microsoft Office suite, databases and company intranets
  • Ability to multi-task and manage time to meet deadlines
  • Strong interpersonal and communication skills, both written and oral
